The challenge
A simple document with a lot happening behind it.
An accommodation voucher may look simple, but producing one involves information from several places. Guest details have to be entered correctly, the right destination and accommodation information has to be used, and the finished document has to be created and delivered at the right time.
When those steps are handled separately, a small administrative task becomes a repetitive workflow with plenty to remember and several places where mistakes can slip in.
The goal was not simply to digitise a voucher. It was to make the whole process easier to manage.
The solution
One place for the whole voucher workflow.
I built a custom web application around the way the travel agency actually handles its accommodation vouchers. Staff can create and manage vouchers through a clear interface while the system takes care of the repetitive work behind the scenes.
Frequently used information such as destinations, accommodation and providers is managed centrally and reused instead of being entered from scratch each time. The finished voucher is generated as a consistent PDF from the stored data.
Email delivery is part of the same workflow. Messages can be scheduled in advance, while the dashboard shows what has been sent, what is waiting and whether anything needs attention.
The software follows the existing work instead of asking the agency to reorganise itself around the software.

Designed for real work
The complexity stays in the background.
Staff do not need to know how PDFs are generated, how scheduled jobs run or how the data is stored. They see the information and actions they need to do their job.
The interface was also designed around repeated daily use: catalogue information can be maintained once, voucher status is visible at a glance, and failed scheduled emails can be retried instead of disappearing unnoticed.
